BUYER GUIDE
What Quality Documents Should Buyers Request for Custom Metal Parts?
Published by Beizhou Metal · General buyer guide
There is no single document pack appropriate for every custom part. Define evidence against the part’s risks and acceptance criteria, and verify which records the actual supplier can provide before making a commitment.
Start from requirements
Identify the drawing revision, critical dimensions, material and finish requirements, applicable standards, and acceptance method. Request records that demonstrate those specific requirements rather than a generic bundle.
Possible records to discuss
Depending on the contract, buyers may request dimensional inspection results, material certificates, coating or treatment records, first-article reports, process records, calibration status, lot identification, or nonconformance and corrective-action documentation. Availability and scope must be confirmed for the selected supplier.
Verify the source and scope
If a supplier claims a management-system certification, check the issuing body, certificate validity, covered legal entity, site, and scope. A certificate is not a substitute for part-specific acceptance evidence.
Agree format and timing
Specify whether records are required with the sample, each shipment, or on request; identify file formats, language, retention, and approval responsibilities. Include record costs or timing assumptions in the quotation.
Keep responsibility clear
Where work is externally provided, define who approves the supplier, controls changes, verifies product, handles nonconformances, and retains records. The buyer should not infer a supplier’s capability from a generic checklist.
Match the record to the acceptance question
For drawing control, agree the part reference, revision and lot identification. For dimensional acceptance, agree the features, method and report scope. For material acceptance, agree the required documentation and traceability linkage. For a deviation, identify who can authorize disposition before shipping.
Check the linkage, not only the document title
When records arrive, check that they identify the intended part, revision, material and delivery as applicable. Ask about missing or inconsistent references. An impressive document title is not a substitute for evidence linked to the agreed requirements.
Keep the evidence proportionate
This guide is a discussion tool, not a prescribed certificate pack. A management-system certificate and a dimensional report answer different questions; neither automatically approves every delivered feature. Confirm the required records and their cost before ordering.
